Here at Havebury Housing, we are looking for a Contract Administrator to join our fantastic Neighbourhood and Estates Team! The Contracts Administrator plays a critical role in the Neighbourhood and Estates Team, working collaboratively with contractors, suppliers and colleagues across the business to support the provision of services in the communities in which we operate.

We own and manage c.7,500 homes in the east of England, working closely with other agencies and stakeholders within our communities. We build on the good foundations we have in place in being a customer-centric organisation, investing in our existing homes - including our zero-carbon journey - as well as building new homes.

Requirements

Outline of Key Responsibilities...

  • To provide administrative support on contracts for all Neighbourhood and Estates Team Leaders including but not limited to, trees management, cleaning and legal services contracts
  • Undertake the processing of invoices, undertaking relevant checks against work issued, contract specification and ensuring payments approved in accordance with Financial Regulations and Standing Orders
  • Liaise with the Finance Team in respect of payment, queries, recharges, budget coding and variations to work etc. relating to Neighbourhood and Estate Services contracts, utilities and estate management company service charges. Assist the Coordinators with budget monitoring within the department
  • Handle enquiries and requests from tenants and other stakeholders regarding the performance of all relevant contracts and record and monitor customer complaints and satisfaction escalating to Coordinators where appropriate
  • Liaise with suppliers and contractors to obtain quotations for works, issue works orders and monitor completions

We are looking for someone who has...

  • Experience of undertaking administration duties including, checking and processing invoices, updating IT databases, matching work orders, managing data and other records etc.
  • Experience of working within a busy office environment, dealing with enquiries by telephone or other methods and using IT systems to record information, communications and actions
  • Experience of liaising with external contractors in respect of contract requirements, complaints and invoices
  • Good oral and written communication skills, able to keep accurate records and communicate clearly with people of all backgrounds
  • Able to demonstrate accuracy and attention to detail when undertaking tasks
  • Excellent organisational skills, able to manage, plan and deliver workload in accordance with priorities
