Are you an experienced administrator, seeking a new permanent job?

My client, a leading provider of NHS-funded ophthalmology services, are seeking a Patient Administrator to join their Bristol team on a permanent basis.

Reporting to the Deputy Patient Admin Lead, the successful applicant will be responsible for ensuring that clinics are set up, that patient appointments are fully utilised and that appointment outcomes are recorded and filed.

Duties:

  • Manage the accuracy of all patient data including liaising with GP surgeries, clinics and patients and ensuring that the electronic patient record is up-to-date.
  • Be a central point of contact for all telephone queries from both patients and clinic staff.
  • Ensure operational and clinical governance protocols are maintained
  • Ensure healthcare and risk management standards are met whilst supporting the service and driving forward efficiency improvements working in conjunction with the Deputy Patient Admin Lead and the Senior Clinical Team.
  • Co-ordinate daily changes required to clinic schedules.
  • Ensure that clinical utilisation reports are correct liaising with the relevant team.
  • Manage the setup of all clinic diaries within our medical appointment system.
  • Book patient appointments ensuring that all clinics and theatres are fully utilised.
  • Responsible for ensuring that all patient reminder calls and text reminders are conducted in line with team processes.
  • Responsible for ensuring that all clinical correspondence actioned in a timely manner.
  • Act as the central point of contact for all telephone enquiries from patients and clinic staff, resolving or escalating issues as appropriate.
  • Deal with enquiries from GP's and other clinicians who require examination/clinic letter reports.
  • Action all clinic cancellations accordingly as instructed.
  • Take responsibility for reinstating clinics as necessary and re-booking all patients in a timely manner.
  • When advised implement changes to clinic start/finish times. Amend slot totals as necessary for restricted/reduced lists as directed by the Deputy Patient Admin Lead or Operational Director.
  • Coordinate the daily, weekly and monthly clinic schedules.
  • Manage capacity and demand to achieve target utilisation whilst analysing and monitoring clinic activity.
  • Balance clinic workload and patient flow to ensure that the maximum number of patients can be seen during sessions without creating problems such as long waits.
  • Promptly escalate any unresolved or complex patient or client-related issues in a timely manner to the Deputy Patient Admin Lead.
  • Support the Deputy Patient Admin Lead in ensuring that all month end clean up procedures have been completed by the last working day of the
  • Assist with the Private Patient Admin task as required such as payments, ordering of lenses, general enquiries and additional ad-hoc tasks.
