Purpose of Role:

To support the efficient and timely delivery of projects for our client working in the Telecom industries. To contribute to the achievement of all company objectives by collaborating positively with other client functions. To strengthen the reputation of the business.

General Description of Job:

 To ensure that all projects support activities are completed on time, within budget and meet high quality standards

To provide full project coordination support for all operational elements of projects whilst ensuring all daily requirements are met including monitoring progress
Prepare H&S documentation as directed
Assist team members to update reporting tool SiteTracker
Attend and document review meetings
Work with Managers to provide the correct data to support client reporting;
Arrange access to sites via client portals
Create and maintain records including data sheets, project documentation and reports ensuring all data captured is accurate and meets the specific requirements
Filing commercial documents on Sharepoint, and updating Mitie Tools & Systems.
Review procurement programme / schedules with the Project Manager and Senior QS and send enquiries to suppliers or sub-contractors so that orders can be placed in time to meet programme.
Work closely with others in the procurement function and review opportunities for continuous business improvements.
Purchase goods, materials or services in line with the specified cost, quality and delivery targets.
Act as an interface between suppliers and other relevant departments on purchasing processes and new projects and activities
Manage receipting of PO and ensure all requireds documentation from suppliers is received prior to any recipting activity
Ensure Billing is managed in line with customer contract and all evidence required for payment is submitted.
Complete Billing Request Form
Perform other activities and duties as assigned by the project team

Accountabilities/Responsibilities:

Monitoring and actioning emails, coordinating site activities, resources, equipment & information. This may include assigning tasks to internal teams and assisting with schedule management
Requesting quotes from internal resource and suppliers and uploading to client's tools for approval;
Raising purchase orders for suppliers
Creating and uploading RAMS
To ensure all company standards relating to Health & Safety, the Environment and Quality are implemented
Ensuring that all company tools and systems are kept up to date and current with all necessary information e.g. Sitetracker, including assisting other team members with updates as directed
Supporting and assisting in the scheduling of field staff in line with project SLA’s
Attending and documenting review meetings
Administering day to day changes within the programme via the management of a formal change process ensuring that required timeframes are met
Arranging site access and site access permits as required by the project
Produce and issue appropriate and effective instructions to field representatives
Prioritise, coordinate and schedule daily work and system updates accordingly
Assists in scheduling of field staff in line with project SLA’s in conjunction with the relevant Managers
Create and maintain records including data sheets, project documentation and reports ensuring all data captured is accurate and meets the specific requirements
Ensure field engineers have the correct H&S documentation for all site activities being undertaken
To provide input and feedback to the team with respect to ideas for process improvement and business opportunities
Ensure a strong focus on customer satisfaction delivering an efficient and accurate service to clients
Have a close relationship with customers to ensure the company can react and respond to market changes
Foster a culture of open communication and teamwork striving for continuous improvement;
Maintain clear and concise records in accordance with
Raise and issue PO’s to the relevant suppliers / subcontractors in a timely manner on Mitie tools and systems, Coupa
Ensure compliance to company guidelines, purchasing policies and procedures
Break down the budgets for each site and add to the management system (SiteTracker), or site CVR templates
Regularly monitor the labour, plant and material budgets and raise any concerns with the QS ahead of weekly progress meetings
Monitor the project milestones for billing events and ensure billing is submitted tith correct information to ensur
Raise quotes and/or invoices on Sitetracker / SAP
