Purpose of the role:

To be responsible to the registered Manager for the management of two mother and baby units in order that is highly effective in supporting the requirements of leaders, staff and visitors.

Location:            SE23 2JE or SE6 1 EJ (you can be based in either of these locations)

Duties include:

Staff Management: Ensure all new key workers are given a comprehensive induction, staff are aware of the standards expected, and fully supported throughout their employment. Complete Personal Development Plans and personnel paperwork as required. Ensure the Rota is covered for upcoming shifts and relief staff are utilized as and when required and as a senior participate in the ‘sleep-in’ Rota when needed.

The Unit: Take responsibility and accountability for the Unit, its resources, and services. Ensure you are aware of financial matters associated with the running of the home and help obtain the maximum benefit from available funds. Take responsibility for the presentation and appearance of the establishment and maintenance of equipment and facilities in line with the requirements of the Company by undertaking and recording the required scheduled building and security checks. Take day-to-day management responsibility for the establishment in accordance with the duty Manager Rota and participate in the ‘sleep-in’ Rota as required.

Communication: As a member of the senior team, support the Unit Manager in meeting the Company’s policies, procedures, and legal obligations, ensuring that all staff are working to company policies and procedures, company initiatives are promoted and to take appropriate action to ensure that standards are reached and maintained. Ensure the Unit Manager is kept up to date on any ongoing issues on a regular basis.

Management of Administration Services:

•              Reception duties, including answering incoming calls and scheduling appointments

•              Follows up on phone calls and contacts as appropriate

•              Answers general emails and postal correspondence with customers and suppliers

•              Book’s meeting rooms

•              Processes expenses and invoices

•              Creates budgets and orders office supplies

•              Files and archives accurate records

•              Contact suppliers

•              Manages health and safety as well as fire regulations within the office

•              Negotiates and manages office insurance contracts

•              Manages office subscriptions to magazines and online resources

•              Monitor training material and confirms it is all up to date

•              Negotiates new customer accounts and contracts

•              Arranges travel and accommodation plans for executives when required

•              Manages the customer complaint procedure

•              Organises and audits the company's systems, databases, and procedures

•              Prepares weekly and monthly reports for the directors

•              Provides administrative support for the directors as needed

•              May take care of payroll procedures and process customer orders

                Management of the Human Resources:

•              To support the Registered Manager with admission planning, ongoing assessments and discharge plans as and when required.

•              Prepare and/or contribute to reports, reviews and assessments to enhance the quality of services.

•              Assist and manage the administration of care plans.

•              To assess performance and encourage development of the staff team using performance development, supervision, and appraisals.

•              To co-ordinate and run staff meetings to deliver information, maintain and promote best practice and set standards for care, through evidence-based practice.

•              Act as a role model at all times.

•              To promote company initiatives and manage delivery within the service provision, ensuring that all staff are working to company policies and procedures, and to take appropriate action to ensure that standards are reached and maintained.

•              Take responsibility for the presentation and appearance of the establishment and the maintenance of its equipment and facilities consistent with the requirements of the company.

•              To assist the Unit Manager with the day-to-day management of the staff team, to include disciplinary, performance management, absence and sickness policies and procedures

•              To support the Unit manager with the implementation, evaluation, orientation, and induction of all new staff.

•              To Support the implementation of policies and procedures.

•              To support and maintain a culture of performance and excellence.

•              To ensure the health and safety regulations are always adhered to.

•              To identify and manage identified risks within the home, notifying the appropriate senior staff member immediately.

•              To be aware of emergency procedures, reporting hazards to the Manager and responding to emergencies as appropriate. In the event of any emergency, take all necessary action to preserve the security and safety of the service users and staff in accordance with procedures.

•              To use manual handling techniques and equipment safely and correctly as per the current company policy and procedures.

•              To wear the correct uniform and personal protective equipment (PPE

 associated with the task and role you are carrying out.
