Job Title: Client Coordinator/Sales Support/Sales Administrator 

Location: Dartford, Kent

Hours: 37.5hrs per week (Monday to Friday)

Purpose of the role

  • To create quotes for BDM’s and then manage the ordering and delivering of projects with customers  

Principle responsibilities

  • Contact suppliers for price, delivery, lead time and technical information.
  • Create quotes on excel and in Bistrack  from BDM leads
  • Populate quotes with digital images of products
  • Update quotes in line with customer and BDM amendments
  • Participate in business meetings to support the BDM
  • Create Operation and Maintenance (O&M) manuals
  • Create quotes on Bistrack and convert to sales.
  • Place purchase orders (P/O's) with suppliers, file order confirmations, manage the delivery of the P/O's and answer queries on price.
  • Maintain record of customer and supplier communications on Bistrack sales order and P/O notepads.
  • Organise deliveries to customers in line with customer call offs.
  • Organise and invoice direct deliveries to customers and book in direct delivery P/O's.
  • Organise exports and raise appropriate commercial documentation.
  • Manage customer credit and cash accounts in line with company policy, communicating with customers and Sales Ledger.
  • Report customer service queries in line with company procedure.
  • Request collections in line with company procedure.
  • Communicate with customers to promote repeat business.
  • Responsible for achieving targets for value of deliveries and proportion of direct deliveries.
  • Responsible for achieving targets for value of inventory held in the warehouse, including deleting unwanted lines and reducing dead special creation.
  • Maintain up to date knowledge of company operating systems, for example Bistrack.
  • Develop product knowledge.
  • Collaborate with different departments to find solutions.
  • Develop relationships with suppliers.
  • Comply with the company Health and Safety policy.
  • Follow reasonable management requests.
