Are you an experienced Administrator, looking for a part-time role within the property sector?
Our Built Environment team are on the hunt for an Administrator to provide secretarial and administrative support to surveyors and architects within the Historic Building team.
The Built Environment team provides specialist strategic advice and support to property owners, occupiers, developers and investors from acquisition to project management. The Department combines the skills of Architects, Building Surveyors, Construction Consultants, and Project Managers with extensive local knowledge.
This position will look to be 28 hours which can be worked flexibly across the week, ideally with 3 of the working days being office-based.
What you’ll be doing:
- Undertaking administrative tasks for the team to ensure the relevant paperwork and client files are kept up to date.
- Preparing and drafting correspondence, reports and schedules, compiling PDF documents, minutes and agendas.
- Answering the team’s calls whilst taking notes/messages on behalf of the team.
- Organising post out/couriers.
- Audio/copy typing, minute/note taking at meetings, and printing, proofreading and binding of documents.
- Arranging meetings (and refreshments when necessary), including conference and Teams calls & presentations.
- Assisting in setting up new jobs and raising invoices.
- Managing and coordinating electronic diaries, arranging meetings, liaising with senior secretaries, senior staff, clients and contacts with regard to regular and ad hoc meetings and events.
- Preparing PowerPoint presentations and Excel schedules.
- Typing minutes of meetings and general correspondence, both internal and external.
- Responding to all incoming mail and emails.
- Arranging travel (generally within the UK), and preparing schedules of events/meetings.
- Liaising with other teams and departments within the firm to obtain information, data, drawings etc. as required.
- Undertaking research to support client projects, as directed, including telephone, email and research.
- Maintaining up-to-date contact information on behalf of the team.
- Maintaining and updating purchase order and budget databases.
- Maintaining all other databases used by the team, as instructed.
- Proofreading and formatting of reports.
About You:
- Good knowledge of Microsoft Office applications, including Word, PowerPoint, Excel, Outlook & OneNote.
- Excellent oral and written communication skills along with previous experience within a secretarial or administrative position.
- Good telephone manner and interpersonal skills, with the ability to communicate across all levels
- Excellent organisation skills with the ability to work under pressure and to deadlines.
- A motivated team plater who enjoys playing a pivotal role within a team environment.
