Job Title: Commercial Fit-Out Project Manager

Job Overview

We are seeking a skilled Commercial Fit-Out Project Manager to oversee all phases of commercial fit-out projects from briefing and planning through to completion and handover. You will be responsible for managing the construction process, liaising with stakeholders, and ensuring the project is delivered on time, within budget, and to the highest quality standards. This role requires a solid understanding of project management practices, excellent communication skills, and proficiency with tools like Procore.

Key Responsibilities:

You will be involved at various stages of the project lifecycle depending on the requirements of each project.

Briefing & Understanding

Site Survey:  Assist with site surveys to gather essential information and provide build advice.

Project Briefing:  Work closely with the team to understand the project requirements and ensure alignment.

Plan Development & Tendering

Tender Support: Attend tender interviews to provide build advice and contribute to accurate cost and project planning.

Planning Input: Help in developing and refining project plans in collaboration with the tendering team.

Design Development (Post-Contract Award)

Site Logistics & Surveys: Participate in site surveys, provide build advice, and review site logistics.

Programme Development: Develop pre-construction programmes and convert them into detailed construction programmes.

Procore Setup: Implement Procore project management systems to streamline communication and workflow.

Procurement & Mobilisation

Handover Documentation: Manage handover documents during the project kickoff and ensure all stakeholders are briefed.

Construction Phase Planning: Create detailed construction phase plans and complete logistics reports.

Compliance & Safety: Coordinate with building control and H&S auditors for site visits, ensure asbestos reports are reviewed, and address R&D survey findings.

Resource Organisation: Organise site management and labour, conduct condition reports, and gather RAMs (Risk Assessment Method Statements) from contractors.

Delivery Phase

1. Site Setup: Conduct site inductions with the site manager to align expectations and review the site manager presentation document.

2. Drawings & RFI Management: Review project drawings and scope, raising any concerns through RFI’s (Request for Information) via Procore.

3. Task Management: Take over the task log from pre-construction teams, manage team actions, and follow up in internal meetings.

4. Client & Contractor Meetings: Chair client meetings (if no contract administrator is available) and continue documenting meeting minutes. Organise and chair contractor meetings, producing minutes using the contractor minutes template.

5. Programme Management: Update the construction programme weekly, ensuring all changes are uploaded to Procore.

6. Weekly Reporting: Create and issue photo reports and contractor reports to the client team on a weekly basis, using Procore and Word templates.

7. Building Control Visits: Arrange initial and ongoing visits with Building Control to ensure compliance with regulations.

8. Documentation & O&M Manuals: Maintain continuous communication with contractors to ensure all documentation required for O&M (Operations and Maintenance) manuals is submitted on time.

9. Health & Safety Coordination: Arrange external and internal H&S visits and ensure they are conducted every four weeks

10. Programme Adherence: Ensure the programme of works is followed, and escalate major issues to the management team if necessary.

11. Site Readiness for Furniture Installation: Work with the furniture and logistics teams to ensure areas are clean, clear, and ready for furniture installation.

12. Furniture Delivery Oversight: Oversee the delivery and installation of furniture, coordinating with site management and labour teams.

13. Incident Reporting: Report accidents and incidents to the H&S manager and create incident reports in Procore for management review.

14. Snagging Management: Create a snagging report in Procore at least two weeks before practical completion (PC) and manage the snagging process, sharing updates with the client team.

Qualifications & Skills Required:

- Proven experience in managing commercial fit-out projects, ideally within the construction industry.

- Strong understanding of the IMS (Integrated Management System) process and fit-out project lifecycles.

- Proficiency in project management software, especially Procore.

- Excellent leadership, communication, and interpersonal skills.

- Thorough understanding of health & safety regulations and site compliance.

- Ability to manage multiple contractors and oversee various aspects of the construction process.

- Strong problem-solving and decision-making skills with a keen attention to detail.
