Apple Recruitment are recruiting for an Administrative Assistant (Band 3) for Medical Locum Team at NI Southern Health and Social Care Trust in Craigavon.

Main duties and responsibilities

  • Action all locum shifts requests in a timely manner as received from Trust Requestors and send notifications to available doctors using HSC eLocums, Agencies and internal contacts as appropriate.
  • Continually monitor live locum shifts, flagging difficulties in filling shifts with the Medical Locums Team Admin Officer for consideration of escalated rates.
  • Follow up and document approval from senior management when using escalated rates.
  • Liaise closely with Trust staff / managers regarding locum cover for vacant shifts; notifying key contacts in a timely manner when locum cover cannot be provided to ensure alternative arrangements can be put in place.
  • Liaise with Agencies ensuring up to date CVs and correct booking forms have been received and saved appropriately.
  • For agency bookings, ensure that CVs are approved by the relevant AMD and are appropriately ranked for use in line with Trust protocols.
  • Maintain Ad Hoc spreadsheets for each Specialty for locum requests and bookings, ensuring supporting documentation is retained.
  • Assign Doctors to shifts where appropriate and advise them of reporting arrangements, as well as notifying the Shift requestor / relevant key contacts.
  • Ensure all safeguarding checks have been confirmed before a locum doctor undertakes a locum placement, including a further GMC registration check and alert list check.
  • Ensure the correct rate of pay has been used when booking a locum either through HSC eLocums or agency. Raise any discrepancies or requests for alternative rates with the Medical Locums Team Admin Officer.
  • Complete a commencement form for new doctors who using the HSC eLocum system for the first time to claim for shifts in order to add them to the weekly Trust payroll.
  • Monitor the HSC eLocum Dashboard on a regular basis to ensure all locum claims are being actioned in a timely manner
  • Ensure that all payments to Locum Doctors are processed in line with protocols to ensure timely payments.
  • Liaise with the System Administrator when there is an issue with any payment ensuring a fix is put in place and the locum doctor kept up to date.
  • Process Retrospective claims in a timely manner, ensuring the correct hours and rates of pay have been stated in the claim.
  • Check FPM invoices ensuring the correct rate of pay and hours worked stated is correct before forwarding for approval to the relevant Assistant Medical Director (AMD).
  • Record FPM invoices on the Medical Locum Database ensuring this is kept up to date.

Applicants must, by the closing date:

1a.) 4 GCSEs at Grades A-C including English Language or

equivalent / higher qualification

AND

1 years’ experience in a clerical / administrative role

OR

1b.) 2 years’ experience in a clerical / administrative role

  1. Experience in the use of Microsoft office products including Excel,  Word & Outlook or equivalent.
  2. Ability to work as part of a team.
  3. Ability to use own initiative.
  4. Good organisational skills with an ability to prioritise own workload.
  5. Effective communication skills to meet the needs of the post in full.

Further Details:

  • Hourly Rate: £11.67
  • Hours: 37.5 hours, Monday-Friday 9am – 5pm
  • Duration: Up to 6 months with possibility of extension
