Apple Recruitment are recruiting for an Admin Assistant (Band 3) for Southern Health and Social Care Trust in Craigavon.

Main duties and responsibilities:

Operational Delivery

1.         Prepare clinic lists/labels/charts/update patient details on PAS.

2.         Registering new patients on PAS

3.         General Reception duties, greeting patients, liaising with medical staff

4.         To undertake a range of admin support duties including, making appointments, maintaining diaries, photocopying, personally dealing with routine items.

5.         To prioritise workload in accordance with expected outcomes.

6.         Deal with routine queries, referring to more senior staff when necessary

7.         Deal with incoming / outgoing mail and ensure that mail is distributed appropriately to relevant staff and in a timely manner.

8.         Continually strive to improve quality, standards and procedures within area of responsibility contributing to the ongoing desire to improve delivery of services.

Information Management

9.         To ensure that all systems used both manual and computerised are maintained accurately at all times.

10.       Where necessary to develop filing systems to meet the needs of the service and ensure these are maintained.

Key Working Relationships

11.       Establish, maintain and develop close working relationships with managers and staff at all levels throughout the Trust and to interact effectively with members of the public as required.

Applicants must, by the closing date:

1a.) 4 GCSEs at Grades A-C including English Language and Maths or equivalent / higher qualification AND 1 years’ experience in a clerical/ administrative role

OR

1b.) 2 years’ experience in a clerical/administrative role

 2.) Experience in the use of Microsoft Office Word/Excel

3.) Experience in using PAS

4.) Ability to work as part of a Team.

5.) Ability to use own initiative.

6.) Good organisational skills with an ability to prioritise own workload.

7.) Effective communication skills to meet the needs of the post in full.

Further Details:

  • Hourly Rate: £11.67
  • Hours: 37.5 hours, Monday-Friday 9am – 5pm
  • Duration: Up to 9 months with possibility of extension
